PRESIDENT
The
President will schedule and arrange all Mothers
Club events by June 1. She will submit completed Event
Forms for all planned events to the school receptionist
by August 1, or sooner.
The President will work with the President Elect during
the summer to organize all Board Member folders.
The President will arrange the first Mothers Club
mailing during the summer to all members with the help
of the board.
The President and executive board members will arrange
and approve a budget in July, and a board meeting in August.
The President will arrange, organize and preside at all
monthly Mothers Club meetings and special meetings.
The President attends all Mothers Club events and
activities.
The President will provide a monthly article for the newsletter.
The President acts as spokesperson at Mothers Club
and school events. She is the liaison to the Principal
and the President of UDJ.
The President is a member of the nominating committee,
unless she is running for an executive board position.
VICE PRESIDENT/PRESIDENT ELECT
Mentoring
Program
The Mentoring Program is organized during the summer.
Ask for volunteers to contact new moms. Calls need to
be made before the second week in August.
Summer Activities
Meet with President in early summer to help coordinate
everything from volunteers to agendas. Plan the budget.
Help prepare folders for Mothers Club Board Members.
Collect and organize all reports from previous years
functions.
Meet with Executive Board Members.
School Year
Attend All Meetings. Fulfill Presidents duties in
her absence. Work with the President on a daily/weekly
basis, whatever is required be her righthand woman!
Review and approve financial records. Coordinate refreshments
each month.
Chair Nomination Committee
Collect, review, and file all reports.
TREASURER
The
Mothers Club Treasurer has several basic job responsibilities
in addition to working with the Financial Secretary and
the Executive Board.
Establish a working budget for the school year with the
other Executive Board Members.
Reimburse all authorized expenditures incurred on behalf
of the Mothers Club.
Make sure that event chairs have the funds they need to
directly pay major vendors, prior to events if possible.
Prepare monthly financial statements and present same
at the Mothers Club meetings.
Prepare monthly bank account reconciliations.
Any other special jobs/financial reviews as requested.
FINANCIAL SECRETARY
The
Mothers Club Financial Secretary has two main job
responsibilities in addition to working with the Treasurer
Collect the annual membership dues for the school year.
Deposit all funds collected during the year from the event
chairs and forward this information to the Treasurer.
Annual Dues
Once the dues have been established for the year, the
Financial Secretary drafts a letter to all school families
that will be included in the first Mothers Club
mailing for the year.
During the year the Financial Secretary would follow up
with newsletter notices and announcements at Mothers
Club meetings to encourage increased participation.
Deposits
The Financial Secretary is responsible for collecting
all event monies from the individual chairs and depositing
them into the bank account.
All checks received must be stamped for deposit only,
and an adding machine tape of the individual checks should
be prepared and attached to the bank deposit ticket.
CORRESPONDING SECRETARY
Monthly
Newsletter
The Corresponding Secretary should have basic computer
skills, wherein she can send and receive emails, including
attachments. At times, she may be asked to create and/or
edit articles for others.
The Corresponding Secretary is to notify Mothers
Club members who are chairing an event to prepare an article
for the Newsletter on a timely basis
Correspondence
The Corresponding Secretary is to conduct correspondence
as the President and Board direct. She will read correspondence
received at our Mothers Club Meeting.
As directed, she will send cards, flowers and/or gifts
on behalf of the Mothers Club.
RECORDING SECRETARY
The
main function of the Recording Secretary is to take minutes
at each monthly board meeting. She will then distribute
them, in a timely manner, to all board members.
The Recording Secretary may be required to send a monthly
mailing consisting of the Presidents letter and
agenda for the following meeting. This should be mailed
approximately one week prior to our next meeting.
